Telecommunications equipment, computer equipment, E-mail service, and Internet access may be available to COMPANY_NAME's employees for support of official company business.
Personal use is permitted, but should be limited in duration and frequency so that it does not interfere with the employee's work responsibilities or adversely affect the productivity of the employee or the employee's co-workers. The use of COMPANY_NAME's equipment that results in an identifiable or appreciable increase in company operating costs is specifically prohibited.
Most computer and telecommunication equipment store information. This stored information resides on COMPANY_NAME owned or leased equipment and is the property of COMPANY_NAME. Employees waive their right of privacy to an COMPANY_NAME officer for any information stored or transmitted on COMPANY_NAME owned or leased equipment resulting from the employee's usage of COMPANY_NAME owned or leased equipment.
Electronic records created or stored on COMPANY_NAME equipment may constitute a record subject to disclosure under open records acts or may be discoverable as the result of litigation.
Official COMPANY_NAME business is defined as "The pursuit of a goal, obligation, function, or duty imposed upon or performed by an COMPANY_NAME officer or employee required by employment with COMPANY_NAME."
Items displayed on a computer screen, as a screen saver or otherwise, must not:
E-mail and Internet usage may be authorized for use in support of official company business. Access to the Internet and E-mail services are determined by COMPANY_NAME officers as appropriate to their company offices and individual employees. Access may also be unavailable due to limitations of the network system.
Chain letters are expressly prohibited. E-mail and Internet site usage should conform to the prohibitions listed for Screen Displays above.
No employee is allowed, unless required as part of an established and approved official company business activity, to provide a network service (server, FTP server, WWW server, etc.) or otherwise make available any access to company telecommunications equipment, computers, or associated media without the written permission of an COMPANY_NAME Officer.
Leased telephone lines provide both intrastate and interstate services. All toll business calls shall be placed over TELCOM_VENDOR where available except when use of TELCOM_VENDOR would jeopardize life or property or cause detriment to the pursuit of company business.
A TELCOM_VENDOR authorization card is issued to COMPANY_NAME employees who need to make official business calls from out-of-town telephones. (Example: Motel to COMPANY_NAME office, motel to home, customer's office to COMPANY_NAME office, etc.). If a TELCOM_VENDOR line is not available, employees may use other telephone services and claim reimbursement on their travel voucher as a miscellaneous expense.
Calls made to an employee's home or family are permitted when traveling away from home on official business (such calls may be considered of personal benefit to the COMPANY_NAME employee, but may also be beneficial to the company if they provide reassurance to the caller's family). Calls make to an employee's home or family is also permitted when the employee is required to work late at their designated workstation.
COMPANY_NAME employees may make other personal toll calls from phones in their offices or at their work area only by using a personal telephone credit card, calling collect, or having charges billed to their personal account.
COMPANY_NAME supervisors or their designated representatives are responsible for notifying all new employees under their supervision of the essential provisions of this policy as part of the orientation process.
COMPANY_NAME managers and supervisors shall ensure that the available monthly listing of equipment and usage charges are monitored for adherence to this policy.
Any violation of this policy may subject the employee to disciplinary actions including the reimbursement of costs.
